Holos Privacy Policy

Holos

Holos is a community platform designed to support connection, collaboration and collective action.

Holos is currently operated by House of IX, LLC d/b/a Origami, an Arizona limited liability company ("Origami," "we," "us," or "our").

This Privacy Policy explains how we collect, use, share and protect information when you use Holos.

Information We Collect

Depending on how you use Holos, we may collect:

Information you provide, such as:

  • Your email address, and either a password or a one-time sign-in link sent to that address
  • Profile information: your name, tagline, biography, profile photo, banner image, company, role, purpose, social links, a free-text location, domains and tags, seeking and offering descriptions, and skill ratings
  • Posts, replies, mentions and emoji reactions on holon walls, event walls and shared working surfaces
  • Direct messages and group messages
  • Holon pages and event pages you create, and your RSVPs to events
  • Text chat messages you send inside a live video space
  • Feature requests, bug reports and feedback, including images you attach and comments you add
  • Your answers to the community's weekly question
  • Your Connection Assessment answers
  • Course enrolments and your progress through lessons
  • Questions you type into the in-app help chat
  • Your email notification preferences
  • Information you provide when communicating with us

Information collected automatically, such as:

  • Device and browser information
  • IP address
  • Log and usage information, including pages visited, features used and timestamps
  • General location information derived from your device or IP address
  • Activity signals that make features work, such as the last time you viewed a shared surface, whether a digest email has already been sent to you, and presence indicators showing you are currently in a shared space
  • The page you were on when you asked the help chat a question
  • Cookies and similar technologies
  • Information about how you interact with Holos

Information we generate, such as:

  • AI-generated content produced from what you provide: banner images, suggested taglines, seeking and offering summaries, suggested skills, and structured seeking/offering tag classifications
  • Approximate city-level coordinates derived from your free-text location
  • Scores derived from your Connection Assessment answers
  • AI-written connection analyses describing the potential fit between two member profiles

Payment information. If you purchase a course or paid feature, or make a contribution, our payment processors collect your payment details. We do not store full payment card numbers. We receive limited billing information from our processors, such as your name, a transaction identifier, the last four digits of the card, and the amount.

We only seek to collect information reasonably necessary to operate, improve and support the platform and community.

How We Use Information

We may use information to:

  • Create and maintain your Holos account
  • Provide and operate the Holos platform
  • Enable community features and interactions
  • Personalize and improve your experience
  • Communicate with you about your account, the community and platform updates
  • Send the notifications and digests you have not switched off
  • Support events, groups, projects and collaborations
  • Process payments and provide paid features
  • Improve our help content using the questions people ask the in-app help chat
  • Maintain the safety, security and integrity of Holos
  • Prevent fraud, abuse and violations of our Terms of Service or Community Agreements
  • Understand how Holos is being used and improve the platform
  • Comply with applicable legal obligations

We may also use aggregated or de-identified information to understand community participation and improve Holos.

Legal bases (EEA / UK users). We rely on: performance of a contract (providing the platform you signed up for), legitimate interests (security, fraud prevention, improving Holos), consent (for optional AI features, analytics cookies and marketing communications), and legal obligation.

How Information May Be Shared

We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

We may share information when reasonably necessary with service providers that help us operate Holos, such as providers of hosting, infrastructure, analytics, communications, security and other technology services.

Information may also be disclosed:

  • At your direction or with your consent
  • When necessary to provide a feature or service you request
  • To protect the rights, safety or security of Holos, its community or others
  • To investigate fraud, abuse or violations of our policies
  • When required by law, regulation, legal process or governmental request
  • In connection with a reorganization, transfer or transition of the operation or stewardship of Holos

Any successor operator of Holos receiving personal information would be expected to handle that information in accordance with applicable law and the privacy commitments communicated to users at the time of the transition.

Service providers

We share personal information with vendors that help us operate Holos, under contracts that restrict their use of the information to providing services to us:

These providers may process your data in the United States or other countries (see Section 12).

Community Content and Visibility

Holos includes community and social features. Information you choose to share through your profile, groups, posts, comments, projects or other community spaces may be visible to other Holos members or, depending on the feature, to a broader audience. Please consider what information you choose to share.

Visible to other members

By default, your profile is visible to other signed-in members through the member directory, the community globe, the connection map and related features. This includes your name, photo, banner, tagline, biography, role, company, skill ratings, approximate location, tags, and seeking and offering information. Your email address is not shown to other members, and members cannot read it out of the platform.

Other members can also see:

  • Anything you post on a holon wall, event wall or shared working surface, alongside your name and photo
  • Your RSVP to an event, where the organiser has set the attendee list to be visible to members
  • Messages you send in a live video space chat, and your presence in that space
  • Your answers to the community's weekly question, which appear in the shared view of everyone's answers
  • The holons you belong to and your role in them
  • Feature requests and feedback you submit, which appear in the shared feedback list with your name

Holon pages and event pages you create have a visibility setting (public, private or hidden) that you control at creation and can change.

Any member can ask Holos to generate an AI connection analysis between their profile and yours. It is written from profile information you have already made visible to members, and it is visible to the member who requested it.

Visible to the public

Some profile information is visible to anyone on the internet, without signing in. Our public website embeds the same community globe used inside Holos, and it reads the same member data: your name, photo, banner, tagline or biography, role, company, approximate city-level location, and your tags and holon memberships. Selecting a member on the public globe does not open their profile; it invites the visitor to join Holos.

Your email address is never included in this public data. Neither are your messages, your assessment answers and scores, or your payment information.

You can opt out. Turn off public profile visibility in your account settings, and your profile will no longer appear on the public globe. You will still appear to signed-in members inside Holos.

Our Community Agreements also ask members to respect the privacy and intended context of information shared by others.

AI and Automated Processing

Holos uses AI in several places:

  • Banner image generation (Google Gemini) creates a banner image from your profile content when you request one
  • Tagline generation (Anthropic Claude) suggests a tagline from your profile description
  • Seeking and offering summaries (Anthropic Claude) generates concise summaries from your free-text seeking and offering fields
  • Tag classification (Anthropic Claude) categorizes your free-text seeking and offering into structured tags, and may propose new tag categories that our team reviews before they are shown to other members
  • Skill suggestions (Anthropic Claude) proposes skills and ratings from what you have written about yourself
  • Location coordinates (Anthropic Claude) converts your free-text location into approximate city-level coordinates
  • Connection analyses (Anthropic Claude) writes a description of the potential fit between two member profiles when a member requests one. Generating an analysis sends both members' member-visible profile information to the model
  • In-app help chat (Anthropic Claude) answers questions about how Holos works, from a set of help articles we maintain

When you submit information for AI processing, the relevant text, and for banner generation the related prompts, is sent to Anthropic and Google through our workflow automation. Under our business terms with these providers, your content is not used to train their models.

The help chat. The help chat cannot see your account, your profile, your messages or your payment records. It answers from our help articles only. We store the question you asked, the answer given, the page you were on, and, if you were signed in, your account identifier. We use this to find gaps in our help content. These transcripts are restricted to our team and are not readable through the platform by members. Please do not type passwords, payment details or other sensitive information into the help chat.

AI outputs may be inaccurate, incomplete or reflect biases. You can review, edit or remove AI-generated content from your profile, and you can decline optional AI features such as banner regeneration.

No legally or similarly significant decisions about you are made solely by automated means.

Cookies, Analytics and Similar Technologies

Holos and its service providers use cookies, browser storage and similar technologies to:

  • Keep you signed in. Your authentication session is stored in your browser
  • Remember your preferences and interface state
  • Keep your recent help-chat conversation in your own browser, so it is still there if you reload the page. Clearing it in the chat, or clearing your browser storage, removes it from your device
  • Maintain security
  • Understand how Holos is used, so we can improve it

Analytics and session replay. We use PostHog to understand how people move through Holos. It records pages viewed and interactions such as clicks, and it may record a replay of your session showing how you moved through the interface. When you are signed in, this activity is associated with your account identifier, your email address and your name. Everything typed into a form field is masked in session replay, so passwords, email addresses and other typed text are stored as asterisks rather than the characters you typed, and private areas such as message threads are excluded from capture entirely.

Your choice. Analytics and session replay only run if you accept analytics cookies. You can accept or reject them through the cookie banner shown when you first visit Holos, and you can change that choice at any time through the cookie preferences link. Rejecting analytics does not affect your ability to use Holos.

You can also control cookies and site data through your browser settings. Blocking essential cookies or storage may prevent parts of Holos from working.

We do not use third-party advertising trackers or cross-site advertising cookies.

Data Security

We use reasonable administrative, technical and organizational measures designed to protect personal information, including encryption in transit, row-level access controls in our database, and authentication controls on our internal tools. Members of our team with administrative access can see member records in order to operate and support Holos.

However, no online service, transmission or storage system can guarantee absolute security.

If we become aware of a security breach affecting your personal information, we will notify you and the appropriate authorities as required by law.

Data Retention

We retain personal information for as long as reasonably necessary to provide Holos, maintain our records, meet legal obligations, resolve disputes, protect the community and enforce our agreements. Retention periods vary depending on the type of information and why it was collected.

Some specifics:

  • Help chat transcripts are retained for 90 days, then deleted
  • Direct messages you sent are deleted when you delete your account, which also removes them from the recipient's view of the conversation
  • Transaction records are retained as long as tax and accounting law requires
  • Backups are retained on a rolling basis and overwritten over time
  • Live video and audio in a live space is not recorded

Your Choices and Rights

You may access and manage your personal information through your Holos account. Most profile fields can be edited directly.

You may also delete your Holos account directly within the app. When you delete your account we remove your profile, your assessment answers and scores, your connection analyses, your holon memberships, your event RSVPs, your course progress, your email preferences, your direct messages, your holon and event wall posts, your live space chat messages, and your answers to the community's weekly question.

Two things are handled differently, so that shared work does not collapse when one contributor leaves:

  • Cards and comments you created on a shared working surface remain, with your name removed
  • Feature requests and feedback you submitted remain in the shared feedback list, with your name removed. A copy already sent to our internal task tracker may still carry your name

We may also retain information we reasonably need for legal, security, fraud-prevention, dispute-resolution or other legitimate operational purposes.

You can also:

  • Opt out of the public globe in your account settings, so your profile is visible only to signed-in members
  • Turn off individual email notifications in your email preferences. We will still send essential account and transaction emails
  • Reject analytics cookies through the cookie banner

Depending on where you live, you may have additional rights regarding your personal information, including rights of access, correction, deletion, portability, objection to or restriction of certain processing, and withdrawal of consent. California residents retain the right to opt out of the "sale" or "sharing" of personal information, although we do not engage in those practices.

Privacy questions or requests may be submitted to Holos@holomovement.net. We will respond within the timeframe required by applicable law, and we may ask for information to verify your identity first. Residents of the EEA and UK may also lodge a complaint with their local data protection authority.

Communications

We may send communications necessary to operate your account or provide important information about Holos.

Where required by law, you may opt out of promotional or community marketing communications. Opting out of those communications will not necessarily stop essential account, security or service communications.

Age Requirement

Holos is intended only for individuals who are 18 years of age or older.

We do not knowingly permit individuals under 18 to create Holos accounts. If we learn that an account belongs to someone under 18, we may take steps to remove the account and associated personal information.

International Users and Data Transfers

Holos may be accessed by people around the world, and our service providers are located primarily in the United States.

If you access Holos from outside the United States, your information will be transferred to, stored and processed in the United States and in other countries where our providers operate. Where required, for example for data transferred from the EEA or the UK, we rely on standard contractual clauses or equivalent safeguards.

The Holomovement

Holos supports connection and collaboration within and beyond the Holomovement.

The Holomovement is a global social movement rather than a separate legal entity operating the Holos platform. House of IX, LLC d/b/a Origami is currently responsible for operating Holos and for the data-processing activities described in this Privacy Policy.

Changes to This Privacy Policy

Holos will continue to evolve, and this Privacy Policy may change accordingly.

When we make material changes, we will provide reasonable notice through Holos or another appropriate communication method and update the effective date above.
